The Challenge

South Bengal Public School's managing committee requires a better view of fee collections for internal auditing and more flexibility over student transport routes. Their system did not allow for a head-wise breakdown of fee collections, a day-wise view of finance, a proper audit trail, or an option to change a student's transport route mid-session.

What We Did

1. Head-Wise Audit Report
Their requirement was a head-wise report on fee collections instead of a single lump total, which their existing system does not provide, so we created it for their Fees Management module, including a duration-based search so the school can fetch reports in any date range.

2. Vertical, Day-Wise Finance Report
Alongside the head-wise report on finance, we provided a separate report in the Accounting & Finance module for a vertical, day-wise breakdown of finances.

3. Head-Wise Collection & Audit Trail Report
We built a detailed report on collection, with entries for Paid, Concession, and Total, on every fee head, including Registration Fees, Development Charge, Tuition Fees (month-wise), I-Card, Library Fee, and more — providing the committee with full information on every rupee collected and where it came from.

4. Multi-Route Transport Management
Previously, a student could only be assigned one transport route for their whole tenure, with no option to switch. We modified the Transport Management module so a student can be moved between routes mid-session — for example, a student with Route R1 from April and May can be changed to Route R2 from the third month onward, with the system accurately tracking fees for each period as well as prior payments.

The Outcome

With these features implemented, South Bengal Public School's managing committee now has full visibility of every head in the finance system, aiding audit trails, and the ability to modify transport routes as students' requirements change through the year — features their previous system did not allow.
